Using the IP Telephone

To place a call:

Keeping the handset in the cradle, dial the telephone number. 
Keeping the handset in the cradle will prevent misdialing the telephone 
number or accidentally dialing 911. Verify the telephone number you have 
dialed by checking the LCD screen. 
Press Dial or pick up the handset to complete the telephone call.

To mute a call:

• Press the Mute button. To disengage mute, press Mute again or lift the handset.

To put a call on hold:

• Press the Hold soft key. 
• To return to the call, press the Resume soft key. 
• If multiple calls are on hold, use the Navigation button to select the desired call 
before you press Resume.

School to School:

• Keeping the handset in the cradle, dial 1, school number and room number or 
pre-determined dial plan number. Remember, you do not need to dial 9 for a 
school to school call. Verify the number you have dialed by checking the LCD 
screen, press Dial or pick up the handset to place the call.
Examples of dial plan numbers are: 120000 = Matula’s secretary 
157000 = Stethem’s secretary 
Keeping the handset in the cradle will prevent misdialing the telephone

Outside Local Call:

• Keeping the handset in the cradle, dial 9, the area code then the desired number. 
Verify the number you have dialed by checking the LCD screen, press Dial or 
pick up the handset to place the call.

Long Distance Call:

1. Keeping the handset in the cradle dial 9, 1, then the telephone number. 
Remember to keep the handset in the cradle to avoid misdialing the 
number or accidentally dialing 911. Verify the number you have dialed
by checking the LCD screen, press Dial or pick up the handset to place the 
call. You will see a line of asterisks (**********) on the LCD display 
screen. 
2. You will hear 2 beeps; after the beeps enter your authentication code (which is 
your 5-digit employee ID), then press the pound (#) sign. 
3. Your long distance call will be completed.

To forward all calls to another number:

1. Press the CFwdAll soft key. You will hear two beeps. 
2. Enter the extension to which you want to forward all of your calls. Enter the 
number exactly as you would if you were placing a call to that extension. An 
animated phone/arrow icon flashes in the upper-right corner of your LCD 
screen. 
3. To cancel call forwarding, press the CFwdAll soft key.

To place a conference call:

1. During a call, press the More soft key, then the Confrn soft key to open a new 
line and put the first party on hold. 
2. Place a call to another number. 
3. When the call connects, press Confrn again to add the new party to the call.

Call Transfer

Supervised Transfer:

• Once the call is answered and you have chosen the desired party that you would 
like to transfer to, press the Transfer soft key. Then dial the selected extension 
and wait for the person to answer, once the desired party answers and wants to 
accept the call, press the Transfer soft key to hand the call over to the desired 
party.

Blind transfer:

• Once the call is answered and you have chosen the extension that you would 
like to transfer to, press the Transfer soft key, then dial the selected extension 
and press the Transfer soft key again.

Call Park:

• Once the IP telephone is in service the call Park option will appear on the LCD 
soft keys located on the LCD screen. Place the call on park, the call park 
number will appear on LCD screen; i.e. 800-810. Now that the call is parked it 
can be picked-up by any IP telephone in the school just by dialing the parked 
number.

Changing Ring Tones:

• Press the settings button located in lower right corner of IP telephone, choose 
option 2, select default ring then select ring tone. The play button may be used 
to preview ring tone, once the ring tone is selected choose ok and exit.

Corporate Directory Lookup:

• Press the directories button located in lower right corner of the IP telephone 
then choose option 4. Use the numerical keys to type in the alpha characters of 
the person’s last and first name that you are attempting to lookup then press the 
soft key labeled search located in the LCD screen.

Help Button: 
• The help button may be used with any submenu by pressing the button that 
looks like a question mark in the lower right corner of the IP telephone then 
selecting the submenu in question

Voice Mail

***Note: When you receive a new message, a flashing envelope icon displays on your 
LCD screen. Depending upon your IP telephone configuration, the light on your handset 
glows to indicate that you have received a new message***.

Retrieving voice mail from an IP telephone using the message button 
(Primary Teacher Only):

• Press the messages button located in the lower right corner of the IP telephone. 
If configuring voice mail for the first time you will be asked to enter your 
PIN, which is 1234.

Retrieving voice mail from the IP telephone by dialing voice mail number 
(This works from any phone from inside the school system):

• Using any IP telephone within CCPS dial your voice mailbox number i.e. 
19xxxx. Once the automated attendant answers, press the star (*) button, you 
will be prompted to enter your ID which is your voice mail box number, 19xxxx 
followed by the #, then you will be prompted for your password. Follow the 
voice directions to listen, save, erase, and forward calls.

Retrieving voice mail from an IP telephone outside of CCPS:

 • Dial (301) 934-7200 or 301-753-1740, when the auto attendant answers press 
the star (*) button, you will be prompted to enter your ID which is your voice 
mail box number followed by the #, then you will be prompted for your 
password.

VOICE MAIL INSTRUCTIONS 
ENTERING YOUR VOICE MAIL FOR THE FIRST TIME
• FROM ANY SCHOOL IP TELEPHONE:

1. Dial your six ID number (19 _ _ _ _). 
2. When the auto attendant answers, press *. 
3. Wait for the auto attendant to prompt for your ID number. 
4. Enter your ID number (19 _ _ _ _) followed by the #. 
5. Enter your temporary password 1-2-3-4 NOTE: You will 
have the option to change this.
6. You will be prompted to record your own personal greeting, record your name and change your password. 
7. You must set up your voice mailbox before you can retrieve your messages.

• FROM A SCHOOL IP TELEPHONE THAT IS SPECIFICALLY ASSIGNED TO YOU:

1. Press the “messages” button. 
2. Enter your temporary password 1-2-3-4- NOTE: You will 
have the option to change this.
3. You will then be prompted to record your own personal greeting, record your name and change your password. 
4. You must set up your voice mailbox before you can retrieve your messages.

• FROM ANY TOUCH-TONE TELEPHONE OUTSIDE OF THE SCHOOL SYSTEM:

1. Dial 301-934-7200 
2. When the auto attendant answers, press *. 
3. Wait for the auto attendant to prompt for your ID number. 
4. Enter your ID number (19 _ _ _ _) followed by the #. 
5. Enter your temporary password 1-2-3-4 NOTE: You will 
have the option to change this.
6. You will then be prompted to record your own personal greeting, record your name and change your password. 
7. You must set up your voice mailbox before you can retrieve your messages.

ENTERING YOUR VOICE MAIL THAT HAS ALREADY BEEN SET UP
• FROM ANY SCHOOL IP TELEPHONE:

1. Dial your six-digit ID number (19 _ _ _ _). 
2. When the auto attendant answers, press *. 
3. Wait for the auto attendant to prompt for your ID number. 
4. Enter your ID number again (19 _ _ _ _) followed by the #. 
5. Enter your password

• FROM A SCHOOL IP TELEPHONE THAT IS SPECIFICALLY ASSIGNED TO YOU:

1. Press the “messages” button. 
2. The auto attendant will prompt you for your password, enter your password.

• FROM ANY TOUCH-TONE TELEPHONE OUTSIDE OF THE SCHOOL SYSTEM:

1. Dial 301-934-7200 
2. When the auto attendant answers, press *. 
3. Wait for the auto attendant to prompt for your ID number. 
4. Enter your same ID number again (19 _ _ _ _) followed by the #. 
5. Enter your password.

RE-RECORDING YOUR GREETING AND/OR LEAVING ASSIGNMENTS ON VOICE MAIL
• FROM ANY SCHOOL IP TELEPHONE:

1. Follow Items 1-5 above – Entering your voice mail already set up . . . From Any School IP Telephone. 
2. Enter “4” for set-up options. 
3. Enter “1” for greetings. 
4. Enter “1” to re-record your greeting and or assignments.

• FROM A SCHOOL IP TELEPHONE THAT IS SPECIFICALLY ASSIGNED TO YOU:

1. Follow items 1 and 2 above – Entering your voice mail already set up . . . From an IP Telephone Assigned to 
You. 
2. Enter “4” for set-up options. 
3. Enter “1” for greetings. 
4. Enter “1” to re-record your greeting and or assignments.

 FROM ANY TOUCH-TONE TELEPHONE OUTSIDE OF THE SCHOOL SYSTEM:

1. Follow items 1-5 above – Entering your voice mail already set up . . . From a Telephone Outside of CCPS. 
2. Enter “4” for set-up options. 
3. Enter “1” for greetings. 
4. Enter “1” to re-record your greeting and or assignments.

Common Voice Mail Commands for Cisco IP Phones:

1 – plays / repeats the current message
2 – send a message to another mailbox
3 – deletes the current message
4 – voicemail setup
