Requirements of the USPS for a standard bulk mailing
200 pieces minimum to use the bulk rates;
all mail pieces need to be the same size and weight;
all mail pieces need to have the bulk rate indicia printed or stamped on it;
do not mail time sensitive material using the bulk rate. The USPS has the right to hold bulk mail for up to six days before delivering it. The Waldorf Post Office is usually good about getting our bulk mail out in a timely manner, but the other area post offices do not necessarily process our mailings prior to the deadline. All time sensitive mail should be mailed first class.
CCPS bulk mailing steps
All mail needs to have either the CCPS return address on it or the individual school return address printed on it.
All mail needs to have the CCPS bulk permit indicia printed on it. If you do not have the bulk rate indicia call Darlene Willett at ext. 7213 and she will e-mail you the file. If you have a Riso at your school you can print the indicia on your envelopes.
Stuff, label and seal the envelopes (no handwritten labels will be accepted).
If mailing a self mailer (bi-fold, tri-fold or right angle fold), the open end needs to be at the top of the mail piece and needs to be secured with 2 "1.5 inch tabs" 1 inch from each end (no staples). Also, please adhere to the weight restriction guidelines.
Sort by Zip Code (use bulk rate zip code breakdown sheet).
Count the 206 zips and multiply the total by .119. Count all the other zips and multiply the total by .178. Add the two totals together to get the total cost of the bulk mailing.
Write a check payable to USPS.
Bring the sorted mailing, paperwork and check to the central office mail room.
Call either Darlene Willett at ext. 7213 or Amanda Burgess at ext. 7489 with any questions about bulk mailings.
